Program Assistant, Conferences and Training, National Trust for Historic Preservation Center for Preservation Leadership (Washington, DC)

Working closely with the Associate Director, assist with administrative and program support for the National Preservation Conference and Trainings. Help ensure the successful implementation and high quality of the National Preservation Conference and all trainings coordinated by the Center for Preservation Leadership. On request, provide assistance to Director, Center for Preservation Leadership. Undertake special projects from time to time that support Center for Preservation Leadership objectives.
Duties:
- Assist the Associate Director, other conference and training staff, and the Center for Preservation Leadership Director with tasks associated with planning and executing the National Preservation Conference and Center for Preservation Leadership trainings, including:
- Provide outstanding customer service to conference and training attendees, including response to phone and e-mail inquiries.
- Track conference registrations and provide attendance reports on request; work with registration company to run registration reports as needed to respond to inquiries from staff and callers.
- Maintain databases of conference and training program participants, including registrants, speakers, and others, and adding new entries and updating as needed.
- Enter budget data to a tracking system.
- Track hotel room pick-up and master account information.
- Assist with materials and speaker information for plenary sessions, educational sessions, and field trips.
- Assist with conference Local Advisory Committee meeting invitations and preparation of on-site materials.
- Assist with the preparation and distribution of conference and training marketing materials, including web-based and electronic marketing.
- Assist with post-conference and post-training followup; coordinate with the web team to facilitate the availability of speeches, sessions, and resources on PreservationNation.
- Prepare benefit letters and other materials for donors and funders.
- Prepare information for funder and grant reports as requested.
- For trainings, assist with communications, including responding to inquiries, correspondence with trainers, notifying applicants, and coordinating attendance of accepted participants.
- Assemble on-site resource notebook and other materials; prepare online materials and web-based resources as appropriate.
- Assist with organization and logistics for on-site special events and other tasks required to facilitate smooth delivery of training programs.
- Travel to conference and training sites and serve as on-site staff, as requested.
- Coordinate the book suggestions for the conference bookstore. Compile and maintain a list of titles, authors and publishers and submit it in a timely manner to the bookstore operator. Contact authors to set up book signings, as appropriate.
- Participate in and provide administrative support for the activities of the Cross-Trust working groups on the conference and the National Trust Institute training component.
- Support the Associate Director and CPL Director with other tasks related to the conference and trainings or, upon request, other CPL programs.
Qualifications:
- Highly motivated, detail oriented, dependable self-starter who must be a team player.
- Able to work independently, set priorities, meet deadlines, and manage a number of concurrent projects in a timely and efficient manner. Ability to work cooperatively with others under pressure.
- Professional phone manner, strong oral and written communications skills a must.
- Excellent computer skills, including thorough knowledge of Power Point, Excel, and Word, and an ability to learn on-line databases and systems.
- Willingness to travel to meetings and workshops.
- 1-3 years experience in conference or event setting preferred. Undergraduate degree required.
- Knowledge of historic preservation helpful but not required.
