Position: Grants Coordinator
Program: Preservation Programs & Maritime Washington National Heritage Area
Location: Preferably in the Seattle area, but will consider candidates anywhere in/near the Maritime Washington National Heritage Area. If candidate lives within the Seattle area, they will be expected to spend at least one day per week in the office (although more in-person time is welcomed). If candidate lives outside the Seattle area, in-person meetings will be expected/coordinated quarterly.
Salary Range: $26.44-$27.88/hour
Position Type: Full-time (40 hours/week) hourly, non-exempt
Benefits: Medical, vision, and dental insurance; a retirement program; paid time off, including holidays, vacation, and sick time
Travel Required: Yes, estimated 10%
Reports to: Preservation Programs Director and Maritime Washington National Heritage Area Director

About Washington Trust’s Grant Programs:
The Washington Trust for Historic Preservation is the manager of a number of annual and biennial grant programs from a variety of funding sources and partnerships including: the Washington State Department of Archaeology & Historic Preservation’s Heritage Barns, Historic Cemeteries, Historic Theaters, and Historic County Courthouses Grant Programs; the National Park Service’s Paul Bruhn Historic Revitalization Grants; the Washington Trust’s Valerie Sivinski Fund; the Maritime Washington Grant Program; and single-round programs from Section 106 mitigation funds and/or special partnerships, such as Coastal Preservation and Adaptation for Rural Communities grants. Many of the grant programs are fully established and have been administered by Washington Trust staff through multiple funding rounds, and the Grants Coordinator’s primary role is to support the Preservation Programs Director and Maritime Washington Director’s management of each program. Grant program administration typically includes preparing and promoting the application period, preparing application materials and scoring rubrics for advisory committee reviews, notifying and contracting with selected grantees, assisting and coordinating with the grantee throughout the grant contract period (including quarterly progress reports), moving grantees through the reimbursement process, and sharing preservation success stories upon the conclusion of grant projects.

Position Overview & Responsibilities
This position works with the Preservation Programs Director and the Maritime Washington Program Director to administer a variety of grant programs, including but not limited to: DAHP’s capital grant programs (Heritage Barn Initiative, Historic County Courthouses Grant Program, Historic Cemeteries Grant Program, Historic Theater Grant Program), the Valerie Sivinski Fund, Coastal Preservation and Adaptation for Rural Communities grants, and the Maritime Washington National Heritage Area grant program. The position will also provide support to additional granting initiatives of the Washington Trust, including those of the Washington State Main Street Program. Additional grant programs may include programs established through the Washington Trust’s advocacy work.

Primary Responsibilities:

- Serve as the initial point-of-contact for and manage the day-to-day administration of grant programs administered by the Washington Trust

- Support program directors in design, development, and implementation of new grant programs in coordination with relevant funders

- Manage tracking of grant processes and records

- Manage relationships with active and prospective grantees through email, phone, and written communication

- Assist with outreach to potential grant recipients and promotion of grant programs, including scheduling/developing grant application workshops

- Coordinate review of grant applications with advisory committees

- Draft and manage execution of grant contracts, in coordination with DAHP and Washington Trust staff

- Collect and review paperwork related to reporting and monitoring of grantees

- Coordinate between grantees and program directors to review project plans throughout grant period

- Manage reimbursement process for all grant projects, including collection and organization of invoices, receipts, and other reimbursement materials from grantees and submittal of reimbursement requests to DAHP when applicable

- Collaborate with program directors to develop, recommend, and implement workflow improvements to grant programs

- Produce reports and data on overall grant administration

- Collaborate with communications staff to share stories of grantees and grant projects on website, social media, and other communications channels

- Conduct site visits as needed to monitor progress of grant projects

- Help the public navigate other resources and funding opportunities beyond Washington Trust grant programs in response to inquiries

- Assist in the development and execution of educational resources related to Washington Trust grant programs

- Occasionally support public-facing events of the Washington Trust

- As capacity allows, provide limited administrative support for Maritime Washington partner network, including processes for onboarding and renewal of partners, disbursement of scholarships and event sponsorships, and monthly research on external funding opportunities

Qualifications:

- At least one year demonstrated experience managing contracts, budgets, and scopes of work

- Strong organizational and time management skills to simultaneously manage a large caseload of contracts per year

- Attention to detail

- Strong and professional written and verbal communication skills (with grantees, colleagues, and program stakeholders)

- Storytelling and writing skills a plus

- Familiarity with Secretary of the Interior Standards for Historic Preservation a plus, but not required

- Familiarity with maritime heritage a plus, but not required

- Experience with Microsoft Suite required; AirTable, Adobe Acrobat Pro, Canva, and basic project management software a plus
