Guest Services Coordinator, The Buffalo History Museum (Buffalo, NY)

The Buffalo History Museum is seeking a dynamic Guest Services Coordinator to manage the guest services team. The Guest Services Coordinator is a public face of the museum – a front line for telephone and in-person interactions. This role provides a superior, accurate, timely, and welcoming guest experience. QUALIFICATIONS:
•Passion for the Museum’s mission and for stories of WNY.
•Ability to work proficiently in a team or as an individual.
•Ability to perform reception duties in a welcoming, gracious manner
•Experience leading a team
•Demonstrated superior attention to detail and ability to comply with schedules and deadlines
•Demonstrated excellent customer service and problem-solving skills
•Ability to refer questioners to proper Museum resources
•Ability to use basic office machines including a point-of-sale system, telephone system, printer/copier, and audio/visual equipment for public programs.
•Competence in MS Office 365 and Raiser’s Edge software (preferred)
•Ability to work flexible hours to include some weekends and weekday evenings.

RESPONSIBILITIES:
•Facilitates a consistent, welcoming guest experience
•Serve as key Museum representative at the guest reception area of the Pan-Am Building or the Resource Center, answering telephones, admitting visitors to the museum and library, providing customer assistance, selling memberships, special event tickets, and gift items in the Museum Shop
•Perform and train on opening and closing procedures.
•Maintain and update Guest Services Procedures Manual.
•Manage part-time Guest Services Associates and schedule appropriate staffing.
•Remain knowledgeable about current Museum events and exhibits; ensures Guest Services Associates remain up to date on programs, exhibits, events, membership promotional offers, and general Museum strategies.
•Learn shop inventory in order to recommend appropriate historical resources/tie-ins.
•Serves as a highly effective link between guest experience, advancement, and operations teams.
•Cultivates a positive and productive workplace through communication, teamwork, and commitment.
•Graciously and promptly respond to guest inquiries, comments and complaints (in person, phone, email)
•Perform such merchandising and accounting duties as needed to ensure efficient operation of the reception area, including batch and close outs.
•Participates in team meetings 
•Facilitate admission through the wheelchair accessible entrance
•Monitor availability of guest reception materials, restocking as necessary.
•Follow prescribed cash handling procedures
•Be available to staff the building for occasional special events and evening hours
•Content Review
•Other duties as assigned
